1. Privacy Policy
This Privacy Policy describes how Reliant Dental Partners LLC ("Reliant," "we," "us," or "our") collects, uses, shares, and protects information you provide when you use our websites, portals, communications, and group purchasing organization services (collectively, the "Services"). Reliant is committed to ensuring your privacy is protected. Any information we ask you to provide that can identify you will only be used in accordance with this Privacy Policy.
This Privacy Policy applies to Reliant's Services. It does not apply to the Method procurement platform, which is operated by Method Procurement Technologies LLC and governed by Method's own Privacy Policy available at https://www.reliantdentalpartners.com/privacy-policy. When you use the Method platform through Reliant, both policies apply.
2. Collection of Your Information
Depending on how you interact with Reliant, we may collect or receive information including, without limitation:
Registration and account information — such as name, practice name, business addresses, email addresses, telephone numbers, job title, NPI number, state dental license number, tax ID, and information imported from third-party logins
Membership information — practice location(s), size, ownership structure, specialties, and affiliated entities
Payment and billing information — banking details, credit card numbers, billing addresses, and payment history for membership fees
Transactional information — purchasing history, orders placed through vendors in our network, savings calculations, and vendor utilization data received from Method and participating vendors
Communications information — records of emails, text messages, phone calls, chat sessions, and customer support interactions with Reliant
Website and usage data — IP addresses, browser type, operating system, device identifiers, referring URLs, time spent on pages, clicks, searches, and similar analytics data
Marketing information — responses to offers, surveys, webinars, and promotional materials
We may combine this information with data received from third-party sources, including publicly available information, vendors in our network, Method, and data vendors.
What We Do NOT Collect
Reliant does not collect, store, or process Protected Health Information (PHI) about your patients. If PHI is inadvertently submitted to us, we will delete it promptly and request that you do not share such information through Reliant's channels.
3. How Your Information May Be Used
Your information may be used for purposes including:
Providing, operating, and improving the Services
Enrolling and onboarding your practice into the GPO Program
Connecting you with network vendors and processing vendor-related offerings
Calculating, reporting, and verifying savings under negotiated vendor contracts
Complying with our obligations under federal GPO safe harbor regulations (42 C.F.R. § 1001.952(j))
Responding to your inquiries, customer service requests, and support needs
Communicating with you about new vendors, offerings, promotions, and educational content
Preventing fraud, enforcing our Terms and Conditions, and protecting Reliant's legal rights
Complying with applicable laws, regulations, subpoenas, and court orders
We may use cookies, pixels, web beacons, and similar technologies along with your information to enhance your experience, measure Service performance, and deliver relevant content.
4. Sharing of Your Information
We do not rent or sell your personally identifiable information to third parties for their marketing purposes. Reliant may share your information as described below:
Participating Vendors
To facilitate the Program, Reliant may share Member contact information (including names, practice names, addresses, phone numbers, and email addresses) with vendors in our network (such as Darby, Ultradent, BioHorizons, Amazon Business, Method, and others) so they can extend negotiated pricing, fulfill orders, send promotional materials, and provide customer support. By joining Reliant, you consent to this sharing.
Method Procurement Technologies LLC
Reliant shares certain Member information with Method to enable platform access, process orders, calculate savings, and report vendor performance. Method may also share transactional and usage data back to Reliant for GPO administration purposes. Method's own use of Member data is governed by Method's Privacy Policy at www.reliantdentalpartners.com/privacypolicy which you should review separately.
Service Providers
We may share information with trusted third-party vendors who assist us with hosting, payment processing, email delivery, CRM, analytics, marketing, legal, accounting, and customer support. These service providers are contractually limited to using information only for the purposes we specify.
Legal, Regulatory, and Government Requests
We may disclose your information when we believe in good faith that disclosure is necessary to (i) comply with applicable law, regulation, subpoena, or court order; (ii) respond to lawful governmental requests, including requests from the U.S. Department of Health and Human Services under GPO safe harbor reporting requirements; (iii) detect or prevent fraud or security threats; or (iv) protect Reliant's rights, property, or safety, or the rights of others.
Business Transfers
If Reliant undergoes a merger, acquisition, reorganization, sale of assets, or bankruptcy, your information may be transferred as part of that transaction. We will notify you of any material change in how your information is used.
Aggregated and De-Identified Data
We may share aggregated or de-identified information publicly or with business partners — for example, to show savings trends across our network. This data does not identify you personally.
5. GPO Vendor Fee Reporting and Safe Harbor Disclosures
Reliant operates as a group purchasing organization under the safe harbor set forth at 42 C.F.R. § 1001.952(j). As part of that regulatory framework:
Reliant may receive administrative fees ("GPO Fees") from vendors based on Member purchases
Reliant will disclose to each Member, annually and in writing, the names of vendors and the specific amounts of GPO Fees received on that Member's behalf
Reliant will disclose the same information to the Secretary of the U.S. Department of Health and Human Services upon request
Members who participate in Medicare, Medicaid, or other federal healthcare programs may have an obligation to report these discounts to the applicable program
You authorize Reliant to act as your purchasing agent and to collect, process, and report this information as required under federal law.
6. Protected Health Information (PHI) and HIPAA
Reliant is not a HIPAA Covered Entity or Business Associate in the ordinary course of providing GPO Services. Reliant does not access patient medical records, treatment information, or other Protected Health Information in connection with the Services.
If you believe PHI has been inadvertently shared with Reliant, please contact us immediately using the information in Section 13 so we can delete it.
7. Tracking Options and Do Not Track
Some web browsers offer a "Do Not Track" setting. Because there is no industry standard for recognizing these signals, Reliant does not currently respond to Do Not Track signals. You may adjust your browser or device settings to limit tracking or decline cookies, but some features of our Services may not function properly if cookies are disabled.
8. Your Choices About Your Information
You may:
Access, correct, or update your registration information by logging into your Member account or contacting us
Opt out of marketing emails by using the unsubscribe link in any marketing message
Request deletion of your business information upon termination of your membership, subject to our legal retention obligations
Opt out of vendor email sharing by contacting us directly
Even after deletion requests, residual copies may remain in our backup systems for a reasonable period, and certain information must be retained to meet legal, regulatory, and contractual obligations (including federal GPO reporting requirements).
9. Our Commitment to Security
We maintain commercially reasonable physical, technical, and administrative safeguards to protect your information from unauthorized access, use, or disclosure. These include encryption, access controls, secure payment processing, and employee training.
However, no system is 100% secure. We cannot guarantee that your information will never be disclosed in a manner inconsistent with this Policy. If we become aware of a breach affecting your information, we will notify you as required by applicable law.
10. Your California Privacy Rights
If you are a California resident, the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA) grant you specific rights regarding your personal information, including:
The right to know what personal information we collect, use, disclose, and sell
The right to delete personal information (subject to legal exceptions)
The right to correct inaccurate personal information
The right to opt out of the sale or sharing of personal information
The right to limit the use of sensitive personal information
The right to non-discrimination for exercising your rights
Reliant does not sell personal information as defined under California law. To exercise any of these rights, contact us using the information in Section 13. We will verify your identity before processing your request.
11. Your Florida Privacy Rights
If you are a Florida resident and Reliant qualifies as a "controller" under the Florida Digital Bill of Rights (FDBR), you may have the following rights:
The right to confirm whether we process your personal data
The right to access your personal data
The right to correct inaccuracies
The right to delete personal data
The right to data portability
The right to opt out of targeted advertising, sale of personal data, and profiling
To exercise these rights, contact us using the information in Section 13.
12. Data Storage and Retention
Your information is stored on servers located in the United States and may also be stored or processed by our service providers in other countries. We retain your information for as long as necessary to provide the Services, comply with legal and contractual obligations, resolve disputes, enforce agreements, and maintain records required under the federal GPO safe harbor (generally at least seven (7) years for GPO fee records).

We may ask you to verify your identity before responding to your request. We may decline requests that are unreasonably repetitive, require disproportionate technical effort, risk the privacy of others, or would be impractical.
14. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. Material changes will be posted on our website, and the "Last Modified" date will be updated. Your continued use of the Services after any change constitutes acceptance of the updated Privacy Policy.
